Administrative Assistant – Multifamily Division

  • Minimum of 3-5 years advanced administrative support experience
  • Previous Commercial Real Estate experience and/or knowledge required
  • Multifamily real estate knowledge is preferred
  • Some College study or even better a 4-year College Degree is a bonus
  • Bringing a sense and awareness of Creativity and Style
  • Successful candidate should have a sense of personal accountability, be energetic, and motivated
  • Texas Real Estate Agent License preferred, if not can seek after employed
  • Operating knowledge of a Multiple Listing Service (MLS) software preferred, if not can accomplish after employed.
  • Strong knowledge of Microsoft Word, Excel, Outlook, and PowerPoint
  • Knowledge of Photoshop and other presentation software and publishing software
  • Typing: +-60 wpm
  • Strong Organizational and administrative skills
  • Knowledge of accounts, basic accounting, and finance
  • Strong interpersonal skills are required to work with all levels of employees, investors, bankers, executives, and staff
  • Strong written, verbal, organizational, administrative and communication skills
  • Attention to detail with the ability to work in a fast-paced environment with executives and staff
  • Experience working in an office environment with experience supporting executive and staff team
  • A professional appearance, and telephone manner is essential
  • Energetic, team player, outgoing, and pleasant demeanor.

Example of Tasks

  • Provide administrative support to multiple co-workers at one time
  • Create aerials, maps and a variety of materials for marketing brochures
  • Periodically update aerials, recent market activity and property information to ensure information is current
  • Assist working with investors and bankers
  • Assist working with a cloud-based investor portal
  • Working with Multifamily market research, demographic reports, economic reports
  • Work with marketing and graphics department on the creation of marketing materials and deal books, regularly updating such materials
  • Schedule meetings, make travel arrangements
  • Send out property information to prospective tenants, clients, investors,
  • Flexible regarding changing priorities
  • Copying, faxing, scanning, mail, Federal Express, general correspondence
  • Generate project summaries and critical dates/contract timelines, financial metrics
  • Research property ownership information
  • Assist in the collection of due diligence materials
  • Assist in press releases for executed deals
  • Be able to read, understand and utilize surveys
  • Participate in team meetings, understanding team’s objectives and anticipating needs
  • Assist staff with department reports, projects and presentations as needed
  • Upload property information and flyers/brochures to both NQ website and Third Party websites
  • Research prospects as assigned (concept, major players and contact information)
  • Other assignments as needed

  • Coordinate with surveyors, title companies, engineers, MUDs, attorneys, lenders, buyers and sellers
  • Coordinate transaction documents with attorneys
